Using Tags

Using Tags in TrialKit

Tags are a powerful way to organize and find files in your case discovery. Learn how to create, customize, and manage tags for efficient file organization.

What Are Tags?

  • Sources and Categories are assigned by TrialKit
  • Tags are custom metadata that you create based on your own organizational needs

Think of tags as a powerful saved search—you group files together by adding tags, making it easy to locate them later. Each file can have multiple tags, and you can customize every tag with colors, icons, and notes to make your organization system even more intuitive.

Why Use Tags?

Tags help you:

  • Create your own organizational structure based on your case needs
  • Group related files for quick access later
  • Mark files with multiple tags to find them in different ways
  • Visually distinguish different file groups using custom colors and icons

How to Add Tags to Files

You can add tags to files in several ways. The most common method is:

  1. Select the file you want to tag
  2. Look for the Tags option in the file's action menu
  1. Enter an existing tag name or create a new tag by typing a new name
  1. Confirm the tag addition

You can add multiple tags to a single file by repeating these steps.

You can also add a tag to a file when previewing or viewing a file in the file's details side panel:

Customizing Your Tags

Make your tags more visually distinctive and meaningful by customizing them:

  1. Colors: Assign a specific color to each tag to create a visual system. For example, you might use red for urgent files, green for completed items, and blue for items pending review
  2. Icons: Add icons to your tags for quick visual recognition across your files
  3. Notes: Add descriptive notes to a tag to explain its purpose or usage guidelines to other team members

Managing Tags

TrialKit provides a dedicated Tags Management menu where you can maintain all your tags:

  1. Access the Tags Management menu from the main navigation
  2. View all your existing tags in one central location
  3. Edit tag properties like colors, icons, and notes
  4. Delete tags you no longer need
  5. Bulk manage tags across multiple files

Browsing Files by Tags

Once you've tagged your files, finding them is simple:

  1. Navigate to the Tags section in TrialKit
  2. Select any tag to view all files with that tag
  3. Use multiple tags to narrow down your results and find exactly what you need

Tips for Effective Tagging

  • Be consistent: Use the same tag names across all similar files for easier searching
  • Keep it simple: Use short, descriptive tag names that are easy to remember
  • Use multiple tags: Don't limit yourself to one tag per file—use as many as needed to categorize files from different angles
  • Leverage colors and icons: Make your tags visually distinct to speed up file identification
  • Document your tagging system: Add notes to your tags or create a team guide so everyone understands your organizational structure

With tags, you have complete control over how you organize your case files. Start tagging today and experience a more efficient discovery workflow!
